Job Description
1. Executive Support
- Maintain and manage the CEO's calendar, ensuring all commitments are scheduled efficiently.
- Review and process documents and reports directed to the CEO, providing summaries and recommendations as needed.
- Advise the CEO on organizational matters, offering insights for effective decision-making.
- Oversee the execution of the CEO's directives, ensuring timely and quality completion.
- Coordinate meetings involving various departments, committees, and councils, including agenda preparation and minute-taking.
- Facilitate the CEO's internal and external communications, nurturing relationships with key stakeholders.
- Ensure compliance with organizational policies and governance related to board matters.
- Organize senior leadership meetings, assisting with necessary preparations.
- Provide support for corporate events as required.
2. Project and Assignment Coordination
- Monitor the progress of strategic initiatives and special projects, ensuring objectives are met within set timelines and quality standards.
- Collaborate with relevant departments to address challenges encountered during project execution.
- Prioritize and manage inquiries and requests, resolving conflicts proactively.
3. Administrative Management
- Offer comprehensive administrative assistance to the CEO, including schedule management, meeting organization, travel arrangements, and document preparation.
- Keep the CEO's calendar updated, coordinating meetings, appointments, and significant events.
- Record meeting minutes, track action items, and follow up with stakeholders to ensure tasks are completed promptly.
- Act as a communication bridge between the CEO and internal departments or external partners to ensure effective coordination.
- Prepare presentations, reports, and speech materials as requested by the CEO.
- Handle sensitive information with utmost confidentiality and professionalism.
- Execute additional administrative duties and special tasks as assigned by the CEO.
Job Requirements
Bachelor's degree or higher in Finance, Banking, Business Administration, or a related field.
Minimum of 10 years of experience in executive support or project coordination roles.
Preferred experience in banking operations, credit and risk management, capital management, finance and accounting, or IT management.
Exemplary professionalism in interactions with diverse groups, including board members, senior executives, staff, community leaders, donors, and partners.
Strong organizational skills with keen attention to detail.
Excellent verbal and written communication abilities, coupled with effective time management.
Capability to complete tasks and projects independently with minimal supervision.
Ability to respond swiftly and appropriately to urgent situations and events.
Robust analytical and problem-solving skills.
Commitment to maintaining high levels of integrity and discretion in handling confidential information.
Proficiency in Business English as required for the role.
